Role Purpose: The incumbent is responsible for carrying out all administrative duties, providing administrative support as directed, maintaining, and updating the fleet master sheet In SAP System and Excel and processing all fleet data that is required.
Accountabilities:
- Creating a master sheet for the fleet continually, with continue maintain and update the all
- fleet details to be input in SAP, also a master sheet with all these details needs to be maintained on an excel sheet.
- Establish weekly, monthly, quarterly, or annual reports.
- Create PRs requisitions and follow up with Procurement also creating GRN on the system when be required coordinate to arrange vehicle inspection and renewal, all permit related to vehicles.
- Coordinate office activities and operations to secure efficiency and compliance with company policies.
- Create, update, and maintain computerized documents within provided deadlines. Meet strict time-oriented deadlines.
- Create, update, and maintain physical filing of related documents to ensure safekeeping and timely retrieval of the same.
- Maintain time & attendance records of employees on system by ensuring the proper time shifts are updated and monitored.
- Receive telephone inquiries and direct as appropriate. Sort and distribute mail and related correspondence to staff members upon receipt.
- Communicate and provide information by relevant methods both internally (within Tadweer) and external (within Bee’ah).
- Ensure that the Section’s staff are informed about the HSSE Policies/Guidelines and are following them.
- Perform data entry of personnel Daily Attendance Records.
- Liaise between Human Resource and Fleet personnel any HR related issues and concerns (i.e., leave, Training, HR Records etc.)
- Receive & distribute documents (such as Leave Requests, Passport Requests, etc.) from Head Office and Send documents to Head Office.
Health & Safety
- Ensure compliance with relevant laws and safeguard their own safety and health, as well as that of anyone who may be affected by their actions or omissions at work.
- Refrain from being under the influence of any intoxicating substances to the point where they pose a risk to themselves or others while on the job.
- Ensure compliance with the company’s Health & Safety policy & procedures.
- Provide cooperation to the company’s practices regarding safety, health, and welfare at work.
- Not to engage in any improper conduct that could endanger his / her own safety and health or that of anyone else.

- Promptly notify the immediate supervisor/manager/HSE representatives of any near-miss incidents, accidents, work-related injuries, or potential safety hazards, such as defects in tools or equipment, that may endanger the safety and health of individuals at the workplace.
- Be familiar with the work site emergency and evacuation procedures and evacuation routes.
Job Requirements Qualification & Experience
- Qualification in diploma in mechanical or automobile engineering with experience in managing work orders and transactions in workshop, MS office and SAP,
Knowledge & Skills
- Good Communication and data entry skills. English is a must.
- Proficiency in MS Office is a must. Excel at elevated level.
- Good typing speed, work on multiple platforms
