Job Title: Administrator – Facilities Management

Job Purpose:
The Job Holder is responsible for overseeing the day-to-day operations of building facilities, ensuring a safe, functional, and efficient work environment for all employees and visitors.
Key Accountabilities:
•    Coordinate maintenance, repair, and renovation activities for facilities, buildings, and equipment.
•    Manage vendor relationships and oversee service contracts for specialized facility services.
•    Process and monitor work orders and maintenance requests to ensure timely resolution.
•    Maintain accurate inventory of office supplies and equipment.
•    Ensure compliance with building codes, health standards, and safety regulations.
•    Oversee facility budgets, monitor expenditures, and identify cost-saving opportunities.
•    Liaise with property management as needed to address facility-related matters.
•    Support sustainability initiatives aimed at reducing energy consumption and minimizing waste.
QHSE Responsibilities:
•    Ensure compliance with all QHSE policies, procedures, legal requirements, and applicable quality, health, safety, and environmental regulations.
•    Foster a safe and healthy working environment by adhering to company policies and industry standards.
•    Participate in QHSE audits, risk assessments, and required training programs.
•    Contribute to continuous improvement efforts to enhance quality and safety standards.
•    Support environmental and safety initiatives aimed at minimizing risks and promoting sustainability.
•    Regularly review and update processes to align with continuous improvement objectives.
•    Actively engage in health, safety, and environmental training to ensure compliance and raise awareness across the organization.
   
Job Requirements
Experience & Qualification

•    Bachelor's degree in Facility Management, Business Administration, or related field
•    2-5 years of experience in facilities management or related field
•    Certifications such as FMP (Facility Management Professional) or CFM (Certified Facility Manager)
•    Experience with project management and vendor negotiations

Knowledge & Skills
•    Proficiency in Arabic language (preferred)
•    Knowledge of building systems, maintenance practices, and safety protocols
•    Strong organizational and multitasking abilities
•    Excellent communication and interpersonal skills
•    Proficiency with facilities management software and Microsoft Office suite
•    Problem-solving mindset and ability to respond quickly to facility emergencies
•    Experience with budget management and cost control
